Navigating the World of International Exhibitions: A Personal Journey

As someone who has ventured into the realm of international exhibitions, I’ve gathered a treasure trove of insights and experiences that paint a vivid picture of what it’s like to step into the global arena of trade shows. The journey of exhibiting internationally is both exhilarating and daunting, especially when you’ve never set foot in the host country before. It’s like stepping into a vast new world, each with its unique customs, languages, and exhibition practices. But worry not, for I’m here to share my journey, hoping to shed some light on the path for those embarking on this adventure.

The Unique Flavor of International Exhibitions

The concept of exhibitions is not a novel one; fairs, markets, and festivals have been the heartbeat of commerce and trade across the globe long before the modern trade show was conceived. These historical gatherings are the ancestors of today’s exhibitions, where once, exhibitors did all the heavy lifting themselves. In this global landscape, terminology plays a crucial role. When liaising with builders in Europe or Asia, it’s vital to get the lingo right. The term “booth,” familiar to those in the USA/North America, shifts to “space” in the context of a fair or market, while “stand” refers to the structure itself. This distinction is crucial, especially when navigating conversations across language barriers.

Europe vs. The States: A Comparative Glance

One of my first revelations upon working in Europe was the sheer scale of convention facilities compared to those in the States. European venues often house multiple expansive halls, and the culture embraces the long walks within these spaces. Unlike in the States, where labor contractors are a common sight, in Europe, exhibitors and their stand builders shoulder most of the work. Builders either bring their teams or subcontract local workers, handling all services directly with the venue or service suppliers, often without markup. However, the Value-Added Tax (VAT) can significantly bump up costs, sometimes by as much as 19-20%.

The Craftsmanship of Exhibition Stands

Strolling through the setup phase of a show in Europe offers a fascinating glimpse into the craftsmanship that goes into building stands. Unlike American exhibitions, where pre-assembled walls and modular structures are the norms, in Europe, you’ll witness the birth of stands right on the floor. From painting bare walls to cutting wood for counters and laying raised floors for better wire management, the process is hands-on and incredibly detailed. This meticulous approach caters to the almost universal need for water and power hookups, as providing food and beverage services within stands is a coveted feature.

Logistics and Registration: Learning from Germany

The logistics of exhibitions can vary widely from one country to another. For example, in Germany, I was impressed by the efficiency of their registration systems. Fast kiosk printers churn out badges at the entrance, streamlining the process considerably. This contrasts sharply with attempts to go digital-only, which, from my experience, tend to be less well-received. There’s still a strong preference for physical badges, which facilitate networking and polite interaction.

Global Experiences: From Singapore to Turkey

My exhibition journey has taken me to approximately 15 countries outside of North America, each offering a unique experience. Singapore stood out for its cleanliness and friendliness, with an astonishing hospitality ratio of five staff members to every guest at hotels. Germany, as expected, boasted efficiency, though challenges arose when working with non-German general contractors. Conversely, my experience in China felt less welcoming, possibly due to a highly competitive atmosphere. Turkey, however, presented the easiest exhibition experience, where even catering was seamlessly handled by the builders, allowing me to manage aspects of the show remotely.

Each country presents its own set of rules, customs, and practices, making every exhibition a unique adventure. Whether you’re navigating the extensive halls of Europe, embracing the efficiency of Germany, or experiencing the unparalleled hospitality of Singapore, the journey is a mosaic of experiences that enrich and educate.
